Grant Management tenant application

Background

The amount of paper work required to complete a tenant application form when renting a property is huge, time consuming, difficult to file and bad for the environment. Being a carbon neutral company, Grant Management were looking for a way to minimise the amount of paper required for this necessary process when renting a property and at the same time wanted to make it a convenient, simple method of supplying information. 

Our approach

As the information submitted by applicants is very sensitive and personal, it was vital to the success of the project that the information entered was totally secure. Mercurytide teamed up with Manhattan, a company who specialize in encryption and internet security issues to help make sure the system was iron clad.

Now that the system was totally secure we had to instill confidence in the users that their information would not be viewed by anyone apart from Grant Management. The best non-technical way of achieving this was to display 'Last time form was viewed' information showing the exact time and date the form was accessed and giving the user the option of choosing if this was correct or not. 

The system had to allow prospective tenants to fill out parts of the form, be able to save their progress and return to complete the form at a later date. When the tenant arrives back it had to be obvious to them which sections had been completed, partially completed, incomplete and those that had errors or inaccurate information. This was achieved by adding a smart progress bar showing each section and indicating the status of each.

The online form is now used by all of Grant Management's prospective tenants and has put an end to reams of paper being used, is more convenient for the tenants, cuts down on administration time and the information is easily stored and organised.
